Our client, a growing charitable organisation, had been let down by their print service provider. Based in London, with around 50 staff, they faced daily challenges with poor printing practices leading to growing costs and wasteful use of resources.

The charity wanted to deliver sustainable solutions to their clients and their wider community and be seen to be following best practice in their workspaces. The charity needed to be compliant with industry regulations, including GDPR, whilst being as cost efficient as possible, to better support their charitable endeavours. 


Espria conducted a comprehensive and consultative review of the charity’s document solution to identify areas for improvement and gain much needed flexibility and scalability to support future growth. The challenges included:

  • Uncollected, wasted prints
  • Poor printing habits such as single sided colour documents for internal use
  • Old and out-dated equipment
  • Inflexible lease agreement.

Espria offered their Managed Print Suite which not only addressed the above challenges but also gave the customer peace of mind that we had understood their business and were the right partner for the future.

  • A ‘find me’ print solution meant that print jobs were released on demand at the device with uncollected jobs deleted at the end of each day reducing print volumes by 10%. In addition, no personal data was at risk of compromise when left on the catch tray, supporting GDPR


  • A rules based printing pop-up gave users appropriate reminders such as “consider printing this document duplex and save 50% paper” or “it costs 10 times less to print in b/w, does this document need to be colour?” This helped the users to make better choices and learn how to be less wasteful
  • The new equipment supplied had the lowest TEC (Total Energy Consumption) saving the charity money on rising energy and resource bills. The new equipment was also more reliable, requiring fewer on-site maintenance visits thus reducing parts and travel costs.


  • The unique Espria ‘Simple Agreement’ provides flexibility as there is no up-front capital outlay nor fixed term third-party leasing which allows Espria to vary offering during the contract period to support future business growth.
